Privacy Policy

What you share with us, what our website collects, and how we handle it. Here is what to know before you browse, send an inquiry, or work with SiteMonk.

1. Who we are and what this covers

SiteMonk is a web studio based in Vancouver, British Columbia, Canada. In this policy, “SiteMonk,” “we,” and “us” mean the studio. We explain here how we handle personal information when you visit our website and Learn site, contact us, or use our services and client portal.

When we build or maintain a website for a client, information collected from that client’s visitors is handled on the client’s behalf under our agreement with them. Their privacy policy explains their collection and use of that information. This policy describes our own relationship with you.

2. Information we collect

  • Inquiries: your name, email address, business name, and the details you choose to share about your website, business, project goals, budget, timing, and how you found us. We also keep related correspondence and any request to join our project waitlist.
  • Client work: contact and account details, project materials, approvals, support requests, and records needed to build and maintain your website or provide technical advice. The information involved depends on the services you ask us to deliver.
  • Billing: billing contact details, invoices, payment amounts, and payment or subscription status. Card payments are processed by Stripe; we do not store full card numbers or card security codes.
  • Website and security data: pages visited, referring pages and campaign tags, interaction and session information, approximate location, and browser or device details. Our hosting and security providers also process connection information, including IP addresses. Form submissions can include the source page, campaign tags, browser details, and an identifier derived from your IP address to help prevent abuse.

Please share only what we need to understand your request. Do not put passwords, card details, government identification numbers, or sensitive personal information in the public inquiry form.

3. How we use information

  • Read and respond to inquiries, discuss project scope, prepare quotes, and contact you about availability if you ask to join the waitlist.
  • Deliver agreed services, manage your account and project, communicate about ongoing Care, and handle billing.
  • Understand how people find and use our site, improve its content, and identify technical problems.
  • Protect forms and accounts from spam, fraud, and unauthorized access, and meet legal and recordkeeping obligations.

Submitting an inquiry does not subscribe you to a newsletter. If we offer optional marketing messages, we will ask you to sign up separately and provide a way to unsubscribe. We do not sell your personal information.

4. Cookies, analytics, and form security

We use Google Analytics 4 on our production website, including the Learn site, to measure traffic and usage. It uses cookies such as _ga and _ga_<container-id> to distinguish visits and sessions, and sends usage information to Google. Our site’s Google tag disables Google signals and advertising personalization signals. The contact form does not send the text of your inquiry to Google Analytics.

Cloudflare hosts and helps protect our site and forms. A form may use Cloudflare Turnstile to check for automated submissions. This involves processing browser and connection information under Cloudflare’s Turnstile privacy notice. The client portal also uses cookies to keep you signed in and protect your session.

You can manage or remove cookies in your browser. Blocking cookies may affect sign-in or other features, and blocking cookies alone does not necessarily stop analytics requests. Google provides an Analytics opt-out browser add-on for supported browsers.

5. When we share information

We use service providers to run the studio and deliver our work. These include Cloudflare for hosting and security, Google for analytics and website fonts, Stripe for card payments, and providers for email and account services. Loading fonts from Google sends your browser’s connection details to Google. When you choose a third-party sign-in or payment service, that provider also handles information under its own privacy policy.

Team members, contractors, and providers receive information needed for their role, such as responding to an inquiry or working on your project. We may also disclose information with your permission, when legally required, or when permitted by law to address fraud, enforce an agreement, or protect people and systems.

If the studio is sold or reorganized, relevant records may transfer to the successor as part of that transaction, subject to applicable privacy requirements. We will provide notice when required.

6. Where information is processed

We operate in Canada, but our providers and collaborators may process or store information in Canada, the United States, or other countries. Information processed outside your country may be subject to that country’s laws and lawful access by its authorities. Contact us if you need to discuss data location requirements before sharing project information.

7. How long we keep information

We keep information for the purposes described here, including managing inquiries and client relationships, delivering work, and maintaining required business records. The period depends on the record and any accounting, legal, or dispute-related requirements. Once it is no longer needed, we delete it or make it no longer identifiable. Backup copies may remain until the normal backup cycle replaces them.

8. How we protect information

We use reasonable safeguards suited to the information and our work, including encrypted connections, account authentication, and access limited to people who need it. No website, email service, or storage system can guarantee complete security. If you need to send confidential project materials, contact us first so we can agree on an appropriate way to share them.

9. Your choices and privacy requests

You can ask what personal information we hold about you, request access or a correction, ask us to delete information, or withdraw consent for a use that relies on your consent. Rights and exceptions depend on the law that applies. For example, we may need to keep invoices or records required by law, and some information cannot be removed while it is needed to provide a service you have requested.

Send your request to the privacy contact below. We may need to verify your identity before providing or changing records. We will explain any limits and what withdrawing consent would mean for your services. If a concern remains unresolved, you can contact the Office of the Information and Privacy Commissioner for British Columbia, or the privacy authority where you live.

10. Other websites and services

Our site links to client websites, resources, and third-party services. Visiting those sites or choosing to use those services is subject to their privacy practices. Review their policies before sharing information with them.

11. Children’s information

Our website and services are intended for business owners and professionals, not children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided information to us, contact us so we can review it and remove it as appropriate.

12. Changes to this policy

We will update this page when our practices change and revise the date above. For material changes, we will provide additional notice or seek consent where required by applicable law. You can contact us for questions about an earlier version.

13. Contact us about privacy
